Event Space Rental & Field Reservations
Members of Brentwood Swim & Tennis Club may reserve event space for parties of all sizes from birthdays, graduation, retirement parties and more. Parties during pool hours with 5 guests or less do not have to submit a Facilities Usage Request Form and will not incur a fee to use any of the common areas within the club other than the non-member guest fee ($8). No additional staff is required to oversee the event. The host (member) must check-in all non-members at the front desk and is responsible for cleaning up after the event.
Any member wanting to do the following for events with more than 5 guests, either during pool season/pool hours or off-season/after-hours must complete the appropriate reservation form below:
host a private event (off-season or after/before pool hours)
host a semi-private event (during pool hours)
reserve the sport field for sports teams or special events (year-round)
Private vs. Semi-Private Events
Each rental option lists whether it is a private space or semi-private space. Private event space during pool season is typically only available before or after pool hours, with the exception of the Meeting Room (private space year-round). During the off-season members have more options for hosting private events but will not have access to the pool deck.
Semi-private events are those held during pool season and pool hours. The Meeting Room has sliding doors that offer privacy but noise from our during-hours pool activity may be heard.
CLUBHOUSE & SPORTS FIELD USE
CLUBHOUSE RENTAL: Renting the "clubhouse" is defined as renting the entire club property; this is an option for members wanting to host a large event with up to 100 guests during the off-season or after pool hours. Rarely will we close the pool early during season to accommodate an event unless it is related to the swim or dive teams or hosted by BSTC.
During Season: renting the entire clubhouse during pool season (after-hours only) includes a facilities use fee for access to the pool and all common areas, lifeguard coverage to safely manage the number of guest swimmers, as well as an event manager.
Off-Season: renting the entire clubhouse off-season includes all common areas of the club excluding the pool (rental options & pricing below).
SPORTS FIELD RENTAL (YEAR-ROUND): This is an affordable option for member-coached sports teams to host weekly practices (soccer, flag football, etc.) or outdoor sports-themed events that do not require use of the club. Use of the club would require the selection of an additional rental package to meet the needs of your event.
The SPORTS FIELD is located off the east end of the BSTC parking lot. The field is broken up into the “east-end” (closest to the basketball goal) and “west-end” or opposite end near the courts. Sports teams may choose to share the field by renting half of the field. Sports Teams, please check the calendar first to see if the field is available on the dates you are requesting.
PRICING: Teams comprised of 50% or higher Brentwood Swim & Tennis Club members will not pay a field usage fee. For teams with less than 50% BSTC membership, the field can be rented for $10/hr for 1/2 field usage or $20/hr for full field usage. BSTC will allow the use of certain equipment such as (2) soccer goals, orange cones, large, insulated water jugs, banquet tables and electrical access.
The PARKING LOT is dedicated to parking for our members and guests however, we understand that certain events may require the use of some of the parking areas. The parking lot is divided up into 3 areas; the west-end lot (nearest the tennis courts), central lot (in-front of the main building) and the east-end (near basketball hoop). Exclusive use of the parking lot should not be assumed for any event held at the sports field or clubhouse. This must be included in your rental agreement with BSTC to have dedicated use of any of these areas for a special event.
Event Staff & Lifeguards
Brentwood Swim & Tennis requires a specific ratio of swimmers to lifeguards based on the age of the swimmers. For children/teens the ratio is 15:1. For adult swimmers, the ratio is 25:1. To ensure the highest level of safety and attention for our members and their guests, we must follow these guidelines for all events that include pool swim.
Event managers are assigned to each event to make sure your party runs smoothly and is onsite to handle any issues that may arise. Most private events include one event manager for every 25 guests.
Small Events Catering
The Gator Grill is able to provide catering for smaller parties to make it easier on party hosts. Avoid the hassle of ordering ahead or bringing in your own food.
